Intake data

What we use to generate a quote.

Only the answers your intake form asks for, which are only the answers your rate rules need. Nothing is collected in the background.

What is collected

The intake answers you configure, such as vehicle class, sum insured or job type, plus contact details the customer or agent enters to receive the quote.

How it is stored

Each quote is stored with its answers, the rate book version, the rules applied and the resulting breakdown, in your workspace only. Workspaces are logically isolated from one another.

How long it is kept

For as long as your workspace is active, or for the retention period you set. You can export or delete quote data, subject to any record-keeping obligations you are under.

Rate-rule audit trail

Any figure, reproduced on demand.

Months later, a customer, an insurer or an auditor asks how a premium was reached. The answer is already on file.

Traceable to the exact rules applied

Every quote records the rate book version it was priced on, each rule that fired, its input and its rupee effect. Re-running the quote on that version returns the same figure, line for line.

Who did what

Rate edits, approvals, overrides and referral decisions are logged with the user and time.

Never auto-approved outside standard rules

Quotes generated outside your standard rate rules are flagged for human underwriter review and are never auto-approved. The flag, the reason and the reviewer's decision all become part of the quote's record.

Encryption & access

Our practices, stated plainly.

No vague promises. These are the controls in place for every workspace.

Encrypted in transit

All traffic to and from Qwackly uses TLS. Plain HTTP requests are redirected.

Encrypted at rest

Stored quote data, rate books and backups are encrypted at rest.

Role-based access

Agents quote, pricing leads edit rates, reviewers decide referrals. Nobody gets more than their role needs.

No training on your data

Your intake answers and rate books are not used to train models for other customers.

Security questions we hear

Who inside our organisation can see quote data?
Only users you invite to your workspace, and only within their role. Branch agents on the Agency plan see their own branch's quotes unless you grant wider access.
Can we export everything if we leave?
Yes. Quotes, breakdowns, rate book versions and audit logs can be exported before you close the workspace.
Does the AI see our customers' personal details?
The engine processes only the intake answers needed to price and explain the quote. Contact details are stored with the quote for your team's use and are not needed for the calculation itself.
How do we report a security concern?
Use the contact page and choose the existing customer support option. Security reports are prioritised and acknowledged promptly.
